Duties & Accountabilities
The Extended Term Consultant will be responsible for these core functions:
Documentation and Announcements
• Manage regular documentation tickets and documentation projects
• Liaise with business units to clarify documentation requirements; participate in documentation project meetings
• Create and execute documentation and announcements plan to support system, policy, and process changes
• Author and review content for the Accounting Business Services website
• Author and review announcements and kiosks
• Ensure news items are triaged and posted to the website; ensure that travel related kiosks are posted to myTravel; ensure kiosks are submitted to Internal Communications within TAT
• Manage project, fiscal year-end, regular and ad hoc announcements
• Advise the team and clients on ideal technology to use for content and collaboration projects; plan and execute approved projects
• Use process mapping tools to document internal processes
• Plan and allocate resources for the documentation portfolio
• Design and execute documentation training programs as required
• Support other documentation, announcements, and technology activities as needed
Service Desk
• Supervise the night-shift service desk operations
• Plan and allocate resources for desk coverage, including leave and transport coordination
• Coordinate with respective vendors to ensure smooth functioning of the service desk tools
• Monitor agent first contact rate (FCR), turnaround time (TAT) and login
• Review internal processes and suggest process improvements
• Track and monitor resource utilization against plans versus actuals; determine benchmarks; provide feedback
• Respond to desk queries, and provide subject matter expertise on any of the content areas
• Initiate meetings with business owners/ITS regularly to resolve pending issues and share enhancements received
• Manage the weekly, monthly and quarterly reports for the unit
• Manage quality assurance for the unit; train and certify new reviewers; analyze and provide inputs for the Operations report; review calls and emails and provide feedback to analysts
• Identify training needs, review training material, coordinate and/or deliver training for the unit; maintain a training calendar for the unit; mentor new trainers
• Manage first level escalations and coordinate with business units whenever required
• Plan and execute unit-level projects; assist with the consolidation of new service desks into AskAccounting
• Nominate team members for rewards and recognition
TSp Portfolio
• Review and update the learning material for transaction specialists; respond to participant questions within TAT; review final accreditation worksheets and learning review documents
• Manage TSp role approvals in SAP as per required criteria; maintain all relevant documents
Selection Criteria
• A post graduate degree, preferably in Accounting or Finance
• A minimum of five years of relevant experience (content writing or communications) with a multinational organization
• Experience in managing documentation/content projects
• The ability to write in a clear and correct manner and without errors
• The ability to gather, organize, and present data in a user-friendly format
• Strong analytical skills and attention to detail
• Proficient in SharePoint 2013 and SharePoint Online (including HTML and CSS), Microsoft Office tools such as Word, Excel, and PowerPoint, and Microsoft collaboration tools
• Should be client focused, flexible and work effectively with other staff in the unit and outside
