Our recruiting team is looking for a Global Talent Acquisition (GTA) Coordinator that will act as a brand ambassador with responsibility for Global Interview Scheduling across the company. This person will be the face of Cytel to all candidates and external client organizations. The GTA Coordinator will be responsible for keeping track of candidates, where they are in the recruitment process and making sure they’re moving on to the next step in an efficient and professional manner.
Reporting to the Manager, Talent Acquisition located in India, the Coordinator assists candidates, recruiters, hiring managers and external hiring stakeholders with interview preparation including interview scheduling, candidate communication, travel coordination, onsite visits (post pandemic), and maintenance of all schedule calendars. This person will incorporate scheduling best practices to deliver an exceptional candidate experience and contribute to Cytel’s reputation as an excellent place to interview at, and to work for.
Act with urgency and collaboration to understand the deliverables of each interview request
Completing tasks within a 24-hour (working hours) period, the GTA Coordinator will verify availability and schedule interviews no later than a week’s time.
Sending meeting requests with attached details including resumes, cover letters, job descriptions with accurate contact information
Effective coordination with Site Admins to schedule both travel and on-site interviews for the candidates and ensure that candidates have everything required for a positive experience including any expense management.
Ensure on-site candidates have a positive interviewing experience at Cytel by being their main point of contact throughout their day and ensure the interview schedule flows smoothly
Multi-tasking with high attention to detail ensuring all members of the interview are aware of when the interview is taking place and with all necessary information
Confirming all details with the Recruiter responsible for candidate identification
Ensure an excellent candidate experience through prompt follow-up and communication throughout the candidate’s life cycle
Create and update candidate profile within SAP and ensure a high standard of data integrity
Responds to all requests within adequate response time, places high emphasis on candidate satisfaction
May assist with other projects as assigned
What You’ll Need:
Bachelor’s degree preferred
2-4 years’ experience in scheduling interviews or appointments in a high-volume environment
Experience in Human Resources or Talent Acquisition a plus
Experience with calendaring/scheduling in MS Outlook
Familiarity with HR databases, applicant tracking systems (SuccessFactors) and candidate management systems
Self-starter with initiative, positive attitude, and passion for delivering an excellent candidate experience
Experience as first line of contact for candidates or customer service-related role preferred
Superb attention to detail required as well as excellent interpersonal, verbal, and written skills
Ability to work cross functionally, perform under tight deadlines, problem solve and adapt in a fast pace environment
Integrity in handling confidential and sensitive information
